Site Administrator

Starting in early 2025 this position will be based at the Bunbury head office, then moving to the site office once the projects starts.

Functions of the role

  • Greet clients and sub-contractors at reception, ensure visitor records are completed and accurate
  • Provide support to the Commercial team, including creating purchase orders/processing invoices and other administrative functions as required
  • Credit Card reconciliation
  • Undertake secretarial and administrative tasks relating to the day-to-day operations of a construction project
  • Operate the site office phone line, Arrange/schedule appointments & meetings, including any requirements for catering to these meetings and general tidy up afterwards (eg. removing all meeting catering, documents & wipe over tables)
  • Setup of weekly meetings, including catering requirements, Control meeting room bookings
  • Maintain office information systems
  • Provide administrative support to the senior management team and staff as required
  • Ensure stationery and office supplies Maintain the kitchen & office environment, ensuring that general tidiness is maintained throughout regularly
  • Clothing/PPE orders for staff & CWs
  • Data entry of CW and Work Experience/Cadet timesheets
  • Basic understanding of Aconex document management system
 
 Requirements to be successful
  • Previous office administration experience
  • Solid analytical & problem-solving skills
  • Excellent level of verbal & written communication skills
  • Intermediate MS Office Suite – Word, Excel, PowerPoint etc.
  • Knowledge of Aconex (preferable)
  • Experience in the construction or building industry advantageous
  • Exceptional attention to detail and written communication skills
  • Proactive, Motivated, Hardworking, Willingness to learn,
  • Flexible and adaptable to work in different working environments
  • Demonstrated initiative and decision-making abilities
  • Ability to build rapport and manage relationships
